Anniversary 2026 FAQs

23 to 26 July 2026 – We are delighted that you are interested in the anniversary celebrations in Heidelberg and hope to welcome you in the summer!

I WILL NEED A PERMIT OR A VISA FOR MY STAY IN HEIDELBERG/GERMANY. IS HAI ABLE TO ISSUE AN OFFICIAL INVITE FOR THIS PURPOSE?	Yes – if you are a member of HAI, we will gladly send you a personalised invitation letter via email or post, which you can use as a template for submission to the authorities. Please contact us about this directly via email.
UNTIL WHEN CAN I REGISTER FOR THE “30 YEARS HAI” ANNIVERSARY?	There will be two registration phases: Early Bird: until 31 March 2026 Regular Ticket: until 31 May 2026 Your registration will be treated as a reservation from our side. After successfully confirming you as a member of HAI or the GdF, you will be given a payment deadline of three weeks (21 days), during which you will have time to settle the bill. If your payment did not reach us by the end of the said deadline, your reservation will be deleted. You can obviously register again to receive a new payment deadline.
I AM NEITHER REGISTERED WITH HAI NOR GDF. CAN I STILL ATTEND “30 YEARS HAI”?	To register for “30 Years HAI” you need to be a member of either HAI or GdF – unless you are joining as an accompanying person of a member. Otherwise, you will not be able to register. You can sign up for free with HAI if you are or were a student, employee, lecturer or researcher at Heidelberg University. If you have no connection to the university but still feel attached to it and the city, you can join the Society of Friends.
I AM STILL A STUDENT AT HEIDELBERG UNIVERSITY AND NOT YET AN ALUMUS OR ALUMNA: CAN I STILL ATTEND THE “30 YEARS HAI” ANNIVERSARY?	As an enrolled student at Heidelberg University, you can already sign up to our HAI network. This would qualify you to attend the anniversary.
I WOULD LIKE TO COME WITH MY FAMILY AND/OR FRIENDS. CAN I BRING MORE THAN ONE ACCOMPANYING PERSON TO “30 YEARS HAI”?	Yes – you can register up to five (5) accompanying people for “30 Years HAI”. If you are planning on attending alongside more than five (5) people, please contact us directly via email.
MY ACCOMPANYING PERSON IS NOT A MEMBER OF HAI OR GDF. CAN I, AS A HAI MEMBER, BRING A NON-HAI MEMBER FOR “30 YEARS HAI”?	Yes – your accompanying persons can, but do not have to be a HAI or GdF member.
CAN I CHECK ON THE STATUS OF MY REGISTRATION?	Yes – upon registration, you will receive a personalised link with which you can check on the status of your registration at all times.
CAN I ADD ADDITIONAL ATTENDEES TO A PRE-EXISTING BOOKING?	If you want to add additional attendees to a pre-existing booking, please contact us via email.
CAN I ATTEND WITHOUT REGISTRATION?	No – a registration for “30 Years HAI” is required. All payments must be made before the start of the event. Otherwise, attendance unfortunately will not be possible.
ARE REGISTRATION AND ATTENDANCE MANDATORY?	A registration for “30 Years HAI” is mandatory. All payments must be made before the start of the event. There is no compulsory attendance for individual events. If there are any changes in your plans for attendance, please let us know as soon as possible so we can react accordingly: Change/cancel the booking yourself via your personalised link Or contact us via email and we will take care of the rest for you.
I SIGNED UP FOR “30 YEARS HAI”, BUT WILL NOT BE ABLE TO ATTEND. WHAT DO I DO? I SIGNED UP FOR “30 YEARS HAI”, BUT I AM NOT RECEIVING ANY EMAILS ABOUT MY BOOKING. WHAT IS THE PROBLEM?	The booking system should send messages to the email address you provided when making your booking If you have not received any messages from the ticket system 15 minutes after making your booking, please check the spam folder of your email account. If you cannot find any messages there either, please contact us by email.
WHEN BOOKING “30 YEARS HAI”, I PROVIDED AN E-MAIL ADDRESS FOR MY COMPANION, BUT HE/SHE IS NOT RECEIVING ANY E-MAILS ABOUT THE BOOKING. WHAT IS THE PROBLEM?	After your booking has been confirmed, the booking system should send messages to all the email addresses you provided when making the booking. If your companion does not receive any messages from the ticket system, please check via your individual booking link: if there is a typo in the email address provided if a separate email address has actually been provided for the accompanying person In addition, your companion should check whether the messages have ended up in the spam folder of their email account. If this does not solve the problem, please contact us by e-mail.
I AM NOT ABLE TO REGISTER ONLINE. WHAT DO I DO?	Please contact us with your concern via email.
WHAT WILL BE THE COST OF THE “30 YEARS HAI” ANNIVERSARY?	The prices are structured as follows: for HAI or GdF members: Early Bird (until 31 March 2026): EUR 79,00 per person Regular Ticket (until 31 May 2026): EUR 109,00 per person for accompanying persons who are not HAI or GdF members: Early Bird (until 31 March 2026): EUR 99,00 per person Regular Ticket (until 31 May 2026): EUR 129,00 per person for student members of HAI or GdF: EUR 49,00 per person
WHAT IS INCLUDED IN THE PRICE? WILL THERE BE ADDITIONAL COSTS FOR ME?	The ticket price for “30 Years HAI” covers all events including the catering offered. There will be additional costs at the Ruperto Carola summer party, where food and beverages will be sold by the Studierendenwerk Heidelberg. Excluded from that will be the reception at the expense of the university. If you plan on consuming food or beverages not part of the catering during the Riverboat Shuffle, you will have to pay for them by yourself. The responsibility for all travel-, accommodation- and food costs during your stay lies with you.
WILL THE PRICE BE REDUCED IF I DO NOT ATTEND ALL FOR DAYS?	No – registration and particiption fee apply to the entire period of the four days. A reduced price is not possible, even if you will not attend on all days.
WHERE CAN I FIND AN OVERVIEW OF ALL THE “30 YEARS HAI” EVENTS?	All information on the alumni-events, the faculties’ and institutes’ programmes as well as our main events can be found on our website. Additionally, our event app with all relevant information will be available to you for the duration of “30 Years HAI”.
DO I NEED TO SIGN UP SEPERATELY FOR THE INDIVIDUAL EVENTS OFFERED?	Yes – once your payment is completed, we will inform you via email about the details of the events and their respective registration process. Admission for the events will be granted in order of registration.
IS IT POSSIBLE TO ATTEND ALL EVENTS OFFERED?	No – some events will be held simultaneously. Once your payment is completed, we will inform you via email about the details of the events and their respective registration process. Admission for the events will be granted in order of registration.
WHAT ARE MY OPTIONS FOR ACCOMMODATION FOR THE DURATION OF “30 YEARS HAI”?	In cooperation with Heidelberg Marketing, we offer you a limited number of rooms in different hotels for the duration period of the anniversary. The use of the HAI quota via Heidelberg Marketing is not mandatory. Our website gives an overview of all offers, also on alternative accommodation options. This is merely a selection and does not constitute an evaluation or recommendation. Please book early in advance and note any deadlines.
CAN I ACCESS THE UNIVERSITY'S INTERNET VIA MY SMARTPHONE OR PERSONAL LAPTOP DURING MY STAY IN HEIDELBERG?	Yes – you can access the university’s internet via your personal devices for the duration of the anniversary. Upon your arrival in Heidelberg, all necessary information will be given to you at the HAI office.
CAN I USE THE STUDENT CANTEEN IN HEIDELBERG DURING MY STAY?	In principle, the university canteens are also open to non-members of the university at any time. However, the price for self-paying guests is higher. As a cheaper alternative, we will be offering meal vouchers for the canteen. They can be purchased at the HAI office (Marstallstraße 6). The voucher includes one main meal and a drink, and can be redeemed at the cafeterias and canteens of the university.
CAN I USE THE UNIVERSITY LIBRARY DURING MY STAY IN HEIDELBERG?	As a former student of Heidelberg University, you may use the reading rooms of the University Library and its literature collections during your visit. However, you are not permitted to borrow items.
HOW CAN I GET AROUND IN HEIDELBERG? WILL THERE BE SPECIAL CONDITIONS FOR THE PUBLIC TRANSPORT (BUSSES AND TRAMS)?	No, there won’t be special conditions for public transport. Depending on destination, number of passengers, personal status and discount entitlements, the ticket prices vary strongly. Single- and group-, short distance-, district-, airline- (via app “myVRN”), day- or multi-day tickets are available. Tickets can be purchased at all ticket machines by bus stops or online via the app. Holders of a “Deutschlandticket” or a “Baden-Württemberg-Ticket” are able to use all means of public transport as well as “S-Bahnen” and the regional transport.
WHO CAN I TURN TO WITH QUESTIONS OR ISSUES DURING THE “30 YEARS HAI" ANNIVERSARY?	The entire team of Heidelberg Alumni International will gladly assist you in any way during the anniversary celebrations.
