Note on the application for the summer semester 2023 and winter semester 2023/24

Depending on the application and admission procedure for your desired degree programme, you are required to submit an application to Heidelberg University prior to the application deadline.
In the following, the enrolment procedure for degree programmes and subjects with and without admission restrictions will be presented separately. Please find out in advance whether your desired subject is admission-restricted beyond the first semester at Heidelberg University.
Registration for admission-restricted degree programmes
Enrolment for degree programmes with admission restrictions is finalised in writing. You are not required to enrol in person.
Please follow these steps to complete the enrolment process:
- Make sure that you have all of your documents (see below), e.g. your health insurance number at hand
- Enrol online. After logging in, you can complete your personal information. You are not required to complete the points in chronological order. You can only access your account once you have received the letter of admission.
- As part of the process you will be asked to enter the password for your online application. If you have forgotten your password, you can request a new one.
- Once you have provided all of the information required, a link will appear to allow you to print a copy of your enrolment application.
- Please print out your enrolment application, sign it, include all required documents (see below) and send it to:

Enrolment deadline
To accept your university place, please send us the necessary enrolment documents by the date stated on the letter of admission. Failure to submit all documents before the deadline will result in you losing your university place.
Required Documents
- University entrance qualification (e.g. German ‘Abitur’) – the officially certified copy from a German public authority. Copies are considered officially certified if they were certified and issued by an official entity (e.g., a public school, does not include private schools!), a municipal, district or city administration, or have been certified by a notary. Certified copies from other entities cannot be accepted! If your diploma was issued under a name you no longer hold, please also submit a respective official certificate detailing your name change. If you acquired your university entrance qualification abroad, please submit the diploma and the certificate detailing equivalence with a German university entrance qualification as well as the determined average grade (available from the Regional Council Stuttgart) - all documents must be officially certified copies.
- Proof of health insurance
Please request electronic transmission of your health insurance status to Heidelberg University from your statutory health insurance if you have statutory insurance.
Please request electronic transmission of a health insurance notification on exemption from compulsory insurance from a statutory health insurance fund if you have private insurance or are not subject to compulsory insurance. If you have never been insured in statutory health insurance before, you may contact any statutory health insurance for this. If you used to be covered by statutory health insurance in the past, please contact your previous health insurance. - A passport photo for upload during the online registration process.
- Copy of your identity card/passport
- Original letter of admission from the university
- In the case of an academic programme in sport: Proof of the successfully completed sport aptitude test
- If changing subjects during or after the 3rd semester, confirmation from the academic advisory services.
For enrolment in a higher academic semester, you must also submit:
- Detailed certificate of exmatriculation from the most-recently attended university.
A detailed certificate of exmatriculation must include confirmation of your enrolment period (beginning/end of the academic programme) and the degree programme (subject/academic semester/degree, potential change of degree programme). Should one or more of these details not be included in your certificate of exmatriculation, you may also submit other supporting documents from your previous university, e.g. certificate of periods of study/certificate of enrolment/academic records, etc. - All examination diplomas associated with prior enrolments – these must be officially certified copies.
Copies are considered officially certified if they were certified and issued by an official entity (e.g. school, university), the municipal, district or town administration, or by a notary. Certified copies from other entities cannot be accepted! - Proof of leaves of absence or semesters abroad.
If there has been a leave of absence, please submit documentation from the university confirming the semester in which the leave of absence was taken (academic records/certificate of enrolment, etc.). If there has been a semester spent abroad (semester in which you were only enrolled in a foreign university), please submit documentation confirming the duration (beginning and end) of your study abroad programme. - Proof of the successfully completed intermediate examination or of deadline extension for the respective semester in the case of enrolment in 7th academic semester or higher - in all subjects. Proof of the completed orientation examination: Enrolment in the 4th academic semester and higher academic semesters where students have not completed the intermediate examination requires submission of the successfully completed orientation examination or proof of deadline extension for the respective semester. Please contact the orientation examination officer or the subject’s academic advisor(s) for more information.
Enrolment in degree programmes without admission restrictions
German citizens are not required to submit an application to enrol in degree programmes without admission restrictions. Representation through a proxy is not permitted. Enrolment for courses with no admission restrictions takes place online. The enrolment application (print copy of the online registration) and the documents listed below must be submitted to the Student Administration office prior to expiration of the enrolment deadline.
Please follow these steps to complete the enrolment process:
- Make sure that you have all of your documents (see below), e.g. your health insurance number at hand
- Enrol online. After you have logged in, you will be able to input the required data under each point. It is possible to edit each point individually.
- Once you have provided all of the information required, a link will appear to allow you to print a copy of your enrolment application.
- Please print out your enrolment application, sign it, include all required documents (see below) and send it to:

Enrolment deadline
The university differentiates between a deadline:
- For all students who have not previously been enrolled at a German university (first-time enrollees)
- For all students who currently are or previously were enrolled at a German university (students changing university location, renewing their studies, transfer students and students pursuing a second degree)
If a cut-off date has been established, there will be no exceptions or extensions.

Enrolment or change of degree programme?
Please note: If you are already enrolled at Heidelberg University, you are not required to re-enrol. In this case, it is sufficient to just change the degree programme.
