Preventing Corruption Useful information about prize money

Awards for academic or artistic achievements are highly gratifying events. They are also an important building block for Heidelberg University's international competitiveness ranking.

Please note the following information if you are awarded a monetary benefit intended for your own use.

The monetary contribution is considered transparent, socially appropriate and fair if the following statements apply when accepting a prize money:

  • The awarding organization does not represent any values or interests that fundamentally contradict those of Heidelberg University.
  • The awarding organization complies with the public competition rules applicable to Heidelberg University in its commissioning/procurement relationships.
  • The financial contribution is justifiable under civil service law.
  • Confirmation of approval by the Rector/Kanzler has been received.

Approval for the acceptance of prize money can be granted if the questions contained in the web form “Notification of prize money won” are answered positively or without any problems.

Notification of Prize Money

The approval of the rector or Kanzler for the personal acceptance of prize money can only be granted on the basis of a set of criteria developed by the Ministry of Science, Research, and the Arts (MWK). In addition, compliance with civil service principles, any impairment or influence on the performance of official duties, and any possible impression of bias must be assessed on a case-by-case basis.
Since, according to the MWK guidelines, formal approval must be given by the Rector or Kanzler, notification of the prize money of another organization offered or accepted is required via the linked web form. Note: The web form is in German.

Heidelberg University’s Internal Prizes

A simplified procedure applies to prize money advertised by Heidelberg University. Those responsible for offering prizes are requested to arrange a consultation with the anti-corruption commissioner. This consultation is a prerequisite for the Rector or Kanzler to grant the appropriate authorization.

If you are the recipient of an internal prize, please do not use the web form to notify your prize money, but contact Compliance for a simplified approach.
