General Information

Can citizens of foreign countries also apply?

Yes, students of any nationality are eligible if they are or will be enrolled in an undergraduate or master’s degree programme at Heidelberg University at the beginning of the award period. Students in the preliminary induction German course, in the preparatory course (Studienkolleg), and short-term students are not eligible to apply.

Can applicants for a study place also apply for a scholarship?

Yes, study place applicants can also apply for the Germany Scholarship. Approval for the Germany Scholarship requires the student be enrolled at Heidelberg University at the beginning of the award period.

Can PhD students also apply?

No, PhD students are exempt. For information on scholarships for PhD students, please contact the Graduate Academy of Heidelberg University.

Are students in second degree or postgraduate programmes eligible to apply?

Yes, students in second degree or postgraduate programmes are also eligible for a Germany Scholarship.

I am just about to finish my degree. Can I apply anyway?

Yes, you can apply for the Germany Scholarship at any point during your degree programme. However, applicants must still be within the standard period of study. Students who have exceeded the standard period of study are eligible only if the reason for the protraction was serious. A special statement of explanation is required.

I have gone beyond the standard period of study; can I still apply for the scholarship/ apply for an extension?

The maximum funding period for the Germany Scholarship is based on the standard period of study. According to § 8 (1) of the bylaws of Heidelberg University on the award of Germany Scholarships, the award period can be extended on request. Serious reasons must be provided for having exceeded the standard period, such as a disability, pregnancy, care and upbringing of a child, engagement as an elected member in the university committee or part of the student self-administration or a degree-related sojourn abroad without leave of absence. A separate statement of explanation and corresponding documents must be included in the written application documents/ the extension request.

Do I have to pay back the scholarship later?

No, you do not need to pay back the scholarship.

How long is the scholarship period?

Provided funds are available, the award period is generally two semesters and is based on the standard period of study for the given programme. An extension is possible on request. See the scholarship approval for more information. The scholarship ends as stipulated in the approval document or at the end of the month in which the scholarship holder successfully completed his university education or is exmatriculated. Funding also stops if the student changes his or her field of study or discontinues study.

How often is the Germany Scholarship awarded?

The Germany Scholarship at Heidelberg University is always awarded at the beginning of the winter semester.

Is it possible to extend the scholarship period?

Information on options for extending the scholarship can be found in the approval document. Within the time limit set for the aptitude and performance review, scholarship holders must submit verification of academic accomplishments during the scholarship period (e.g. transcripts of records, internship certificates, etc.) and a brief account of further personal development since the scholarship was awarded or since the last review, as well as relevant evidence of any changes in personal or family circumstances, volunteer work or course-related employment. If requirements are met, the extension is granted subject to availability of funds. In the Case of exceeding the standard period of study, a separate statement of explanation and corresponding documents, which specifies the different reasons, is requiered.

What happens if a student takes a semester off?

Payment of the scholarship is suspended during the student’s leave of absence. The scholarship award period might be adjusted upon notification when the student resumes study after the leave. If the student is pursuing a semester of subject-specific study abroad, payment of the scholarship can continue during that time.

Is it possible to receive simultaneous scholarships?

Anyone receiving aptitude- or performance-based financial support, on average 30 euros or more per month, cannot receive Germany Scholarship funding. An overview of the various scholarships that are compatible with or preclude receipt of the Germany Scholarship is provided on the BMBF Germany Scholarship website (Ger "Übersicht zur Zulässigkeit des gleichzeitigen Bezugs anderer Stipendien mit dem Deutschlandstipendium").

 

Application process

What are the selection criteria?

In addition to academic accomplishments, the main award criteria include long-term volunteer activities, special personal or family circumstances, completed professional training, voluntary internships, and special achievements, awards and prizes. The scholarship selection committee chooses the recipients (also see bylaws (Ger)).

How do I furnish proof of my accomplishments?

Students in the first two Semesters:

Usually you provide your final grade. Please submit a copy of your record of your university entrance qualification. If a university degree is available / is about to finish, please submitt a copy of the university diploma until the end of the application period (31.8.) / a copy of a temporary certificate of the final grade until the end of the application period (31.8.)  and a copy of the university diploma no later than 15.10. The certificate of the recently completed university degree would be decisive, which would make the submission of the university entrance qualification invalid.

Students from the third Semester or higher:

Usually you provide your overall grade average or number of points. Please submit your performance records or transcripts with current date. If you have any questions, please contact the relevant transcript office.

Students of human medicine

Pre-clinical stage
Qualified overall certificate including percentile ranks (Heidelberg faculty) or semester ranking (Mannheim faculty)

Do foreign certificates require anything additional?

To apply for the Germany Scholarship, you need a copy of the foreign university entrance qualification/ bachelor certificate and a certified translation (except for certificates in English) in English oder German. The translation is usually prepared by a sworn specialist translator. Additionaly a convertion in the equivalent grade in German must be submitted. If it is not available, we will request an internal convertion. Please note that the university entrance qualification/ bachelor certificate is required only for applicants in the first two semesters. Use the number of semesters you have completed prior to the forthcoming winter semester to make that determination.

Please contact the relevant examination office regarding recognition of coursework completed abroad and conversion of grades.

What average grade do I need to have to apply for the Germany Scholarship?

In addition to academic performance, other criteria are important in the selection process, such as special volunteer commitments, internships, awards, completed professional training and personal circumstances. The overall impression the applicant makes is also taken into consideration in the final selection. The number of recipients also depends on the funds available and the number of applicants in a given subject area. Unfortunately we cannot specify a minimum grade required for the application.

What does the letter of motivation need to include and can a written version be submitted in addition to the online application form?

Form 8 of the online application (only available in German) requests that you explain the reasons for applying for the Germany Scholarship. The statement should describe why your current accomplishments substantiate a high degree of future success during your future university and professional career in light of your personal background. The statement may not exceed 2,500 characters (including blank spaces). Any written statement submitted additionally will not be included in the selection process.

Can recommendations be submitted?

Any letters of recommendation with regard to the Germany Scholarship are admissible and will be taken into account in the selection process.

What requirements must be met for the "voluntary engagement" criteria?

One selection criteria for the Germany Scholarship is the applicant’s voluntary engagement. If the activity was pursued for a minimum of six months, it can be considered in the application. A completed engagement can be included in the application only if the activity ended no earlier than one year prior to the application time period. For the current application process, for example, completed commitments of at least six months duration can be included as long as they ended after July 2016. A differentiation is made between daily, weekly and monthly commitments. To recognize voluntary engagement, verification must be submitted in the form of a copy that indicates the type of activity and time period dedicated to that engagement.

What requirements must be met for the "awards/prizes" selection criteria?

The selection process takes prizes and awards into account that were received within the last three years prior to the application period, which means those back as far as July 2014. National, state and international prizes and awards are considered.

What requirements must be met for the "internships and professional training" criteria?

Internships of at least four weeks duration and not mandatory for study and examination regulations are taken into consideration, if they ended no earlier than three years prior to the application time period. In the current application process voluntary internships are included with a minimum duration of 4 weeks and back as far as July 2014.

Professional training must have been at least two years in duration.

How do I verify my non-academic history?

You can provide a written statement signed by both parents indicating your occupation(s) and the highest level of education. No special form is required. If there is no contact with one parent, this must be confirmend or proven by the other.

How do I furnish proof of migration background?

Submit a copy of a birth certificate or identification that documents that either you or at least one parent is a foreign national. If a candidate has experienced flight, they can submit documents that prove the status of a recognised refugee.

Can missing documents be submitted at a later time?

If the enrolment certificate, notification of admission, first university diploma, certificate of Part One of the National Medical Licensing Exam or the performance records for the Technical Propaedeutics Course or Phantom Course I of Dental Prosthetics, or activities from the summer semester completed by 31 August are not available by the end of the application period (31 August), copies must be submitted no later than 15 October. All other written documents must have been received by Heidelberg University Administration | Division 8 | Department 8.2 | Seminarstr. 2 | 69117 Heidelberg by 31 August.

Although records from the summer semester as well as from your pending degree can be submitted later, applicants must still specify their current average grade under performance /under previous university degree on the application and submit a copy of the current performance record by 31 August.

When submitting the missing documents, please make sure that the specific documents are bearing the indication "Submission für application for a Germany Scholarship" as well as your name and your applicant number.

I’m completing my bachelor’s degree in Heidelberg or at another university. Can I still apply for the Germany Scholarship through Heidelberg University?

You can apply for a Germany Scholarship if you are planning to attend Heidelberg University during the forthcoming winter semester. If you do not have your bachelor’s diploma or enrolment certificate when you apply for the scholarship, you can submit them until 15 October. Until the end of the application period (31 August), please attach a copy of a temporary certificate with your final grade to the application. However, you still have to enter an interim grade in the section "Vorheriges abgeschlossenes Studium" in Form 3 and certify it.

I am currently in my first subject-related semester (bachelor’s/ master’s) and don’t yet have any course or examination certificates. What do I enter under performance record in Form 2?

Please leave the field blank. For undergraduate students, performance is rated based on the grade specified in the university entrance qualification or the final grade of the previously completed degree programme which should be entered in Form 4, accordingly. For students who have already completed another course of study, the final grade of their last university degree is used. Please make the appropriate entries in Form 3.

Next semester I will be on leave/studying abroad/doing an internship. Can I still apply?

You can apply for a Germany Scholarship. If you are on leave from Heidelberg University during that time, the scholarship will resume once you return and the period of the award will be adjusted if necessary. If your time abroad is related to your field of study, you can continue to receive the scholarship while you are gone.

I am enrolled in two degree programmes. Under which programme should I apply?

Germany Scholarship applications apply to your major field of study. You can choose whichever one you prefer. However, please apply only for one programme.

What is the application deadline?

Applications can be submitted from 15 July to 31 August. The signed print-out of the online application (only available in German) and the required documentation and certificates must reach our post office no later than 31 August (the receipt stamp date applies). The postmark date does not count.

Applications received by our post office after that deadline will not be considered.

Selection process

How are the recipients of the Germany Scholarship selected?

The current process for awarding Germany Scholarships uses the criteria weighted as follows:

  • Performance at school or during your studies: 60%
  • Volunteer work, awards, voluntary internships or completed professional training: 20%
  • Personal and family circumstances: 20%
The overall impression the applicant makes is also taken into consideration in the final selection. A scholarship selection committee selects the recipients.

 

When is the selection process complete?

The selection process is expected to be complete in early November. All applicants will then be notified in writing of the decision. Please inform us if your postal address has changed compared to the one indicated in your application, in the meantime.

Will I receive confirmation on the status of the application and selection process?

Yes, every applicant will be notified in writing after the selection process is complete. Acceptance and rejection notices are expected to be sent between the middle and end of November. Please inform us if your postal address has changed compared to the one indicated in your application, in the meantime. We ask that you please refrain from requesting status updates in the interim.
