Heidelberg University is introducing a new campus-management system “heiCO“ – Heidelberg Campus Online. This system will ultimately unite all processes of the “student life cycle“ in a single web-based system: from application and admission, creating your study schedule, examination administration, to graduation.
The system rollout will take place gradually over the next few months. The current systems (HIS modules, HIS-LSF, Sign-up etc.) will successively be replaced. The first “go-live” for application and admissions management will take place in the first week of December 2022. This means, that from December onwards, almost all application and admission processes will be available in heiCO and applications must be submitted via heiCO.
Please note: applications for Master of Education will continue to be handled via the currently existing application portal.
During the data migration from the previous systems (application database and student database) to heiCO, it is necessary to “freeze” the data, starting November 18th, 2022, 2 p.m. for approximately two weeks. Certain functions will be limited or not available during this period.
Limitations during the system switch
Student administration services will be limited between Nov 21st and Dec 2nd , 2022. During this period, the administration personnel will for example not be able to issue certificates. In urgent cases (e.g. if you need to exmatriculate during this time), please contact the university’s Serviceportal.
It will not be possible to send in applications via the old admission portal anymore. All application processes which in previous years had the deadline of November 15th have been shifted to December 1st, 2022 (only for this year).
Students who wish to apply for the Physics - Master's and Physics - Master's (Fast Track) programs between Nov 18th and Dec 1st, 2022 must submit the application in paper form by postal service or in person. From Dec 1st on, the application for these study programs can also be submitted digitally via the new portal. Please note that during the transition period, enrollment (immatriculation) is only possible in paper form.
Semester fee payments received after Nov 17th, 2022 will not be visible in LSF. From Dec 1st, 2022 on, the new platform will show payments received between Nov 17th and Dec 1st.
