Training stays Staff mobility

The European Union's ERASMUS+ programme enables further education and training measures for university staff to promote internationalisation. Employees of Heidelberg University can take part in staff training at a European partner university through the ERASMUS+ Staff Mobility for Training (STT) programme and apply for an ERASMUS grant for this purpose. The funding includes country-specific daily allowances, a lump sum for travel expenses and, if applicable, special grants.

Who is supported?

ERASMUS+ staff training courses can be applied for by employees of Heidelberg University (primarily technical, library and administrative staff).

Due to limited ERASMUS+ funds and in accordance with the DAAD's allocation guidelines, preference will be given to employees who have not yet participated in ERASMUS+ staff training. If sufficient funds are available, repeat applications for funding may also be considered.

What is supported?

Funding is available for professional development and training courses offered by ERASMUS+ partner universities. The funding period generally covers a period of 2 to 5 working days. Longer funding periods are only possible in exceptional cases, subject to prior agreement and sufficient ERASMUS+ funds being available.

The following activities can be funded:

  • Job shadowing: Self-organised stay programme with the aim of getting to know your own field of work at a partner university and exchanging ideas about it.
  • Staff Training Weeks: Programme organised by the host university in the Erasmus area with a variety of topics. Current announcements are published on the iMOTION platform.
  • Participation in language courses: Self-organised language trips in the Erasmus area with the aim of promoting confident use of the foreign language in everyday working life and strengthening intercultural competence.

Please note: Course or participation fees cannot be covered by ERASMUS+ funds. Participation in conferences or research group meetings cannot be subsidised with ERASMUS+ funds.

The applicant is responsible for contacting the host institution and planning and organising the stay. Further education and training requires the approval of the responsible personnel manager by endorsing the business trip. The International Relations Department will be happy to advise you.

How can I apply for ERASMUS+ funding?

Applications for ERASMUS+ staff mobility funding should be submitted in writing to the International Relations Office at least 4 weeks before the start of the mobility and should include the following information:

  • Name of applicant(s)
  • Place of employment at Heidelberg University
  • Name and location of host institution
  • Planned period/duration of stay
  • Brief description of the project (including invitation letter and programme, if applicable)

After receiving the informal application by email, further information and the training agreement (mobility agreement) will be sent. This ERASMUS+ mobility agreement must be agreed upon by the employee, the host university and the home university before the trip begins. The approval of the personnel manager is submitted with the business trip application. Based on these documents, the grant agreement is concluded between the traveller and Heidelberg University, represented by the International Relations Office.

Early application is recommended, as funding for ERASMUS+ staff mobility can only be granted if sufficient ERASMUS+ funds are available. The International Relations Office will be happy to answer any further questions you may have.

How much funding is available?

ERASMUS+ funding is available for stays in countries participating in the ERASMUS+ program. It is calculated on the basis of a country-specific daily allowance and a travel allowance, which is allocated according to the distance between the home university and the host institution using the EU distance calculator. An increased travel allowance (Green Travel) can be paid for travel by low-emission means of transport such as bus, train or carpooling. The exact flat rates are listed in the table below.

Due to limited ERASMUS+ funds, only a maximum period of 5 days can usually be subsidized, even if the mobility is to take place over a longer period.

Is there special funding available for trips involving additional expenses or higher costs?
People with special support needs (e.g. travelling with children/travelling with physical limitations) can apply for an additional grant to cover significantly higher expenses by submitting a real cost application. At least three months before the start of the trip, a detailed cost breakdown and the application documents proving the additional costs abroad must be submitted. The application will be reviewed and approved by the DAAD. Please contact us in good time in this regard.

Group 3: 140 euros a day
Bulgaria, Croatia, Hungary, Lithuania, North Macedonia, Poland, Romania, Serbia, Turkey

Travel expenses

Travel costs are reimbursed depending on the actual distances between the place of departure and destination of the mobility. These are calculated uniformly throughout Europe using a calculation tool (see "Distance calculator").
