What are the selection criteria?
In addition to academic accomplishments, the main award criteria include long-term volunteer activities, special personal or family circumstances, completed professional training, voluntary internships, and special achievements, awards and prizes. The scholarship selection committee chooses the recipients (also see bylaws (Ger)).

How do I furnish proof of my accomplishments?
Students who are in their first or second semester in the upcoming winter semester:
Usually you provide your final grade. Please submit a copy of your record of your university entrance qualification. If a university degree is available or will be issued soon, please submit a copy of the university diploma or a copy of a temporary certificate of the final grade until the end of the application period and a copy of the university diploma until the respective deadline. If you have several degrees, please state the degree that is relevant to the subject for which you have applied for a Germany Scholarship. The submission of the university entrance qualification would then be invalid.

Students who are in their third semester or higher in the upcoming winter semester:
Usually you provide your overall grade average or number of points. Please submit your performance records or transcripts with current date. If you have any questions, please contact the relevant transcript office. For information about the end of the application period as well as the deadline for submitting missing documents, please go to our website.

Do foreign certificates require anything additional?
All certificates that are not issued in German or English must be translated into English or German by a sworn specialist translator. In the case of foreign certificates such as the university entrance qualification / university degree, a conversion of the certificate into the German grading system must be submitted in addition to the officially certified translation.. If it is not available, we will request an internal conversion. Please note that the university entrance qualification/ bachelor certificate is required only for applicants in the first two subject-related semesters. The winter semester for which you are applying serves as the basis for the number of subject-related semesters. Use the number of semesters you will have completed in winter semester to make that determination.

Please contact the relevant examination office regarding recognition of coursework completed abroad and conversion of grades.

What average grade do I need to have to apply for the Germany Scholarship?
In addition to academic performance, other criteria are important in the selection process, such as special volunteer commitments, internships, awards, professional training and personal circumstances. The overall impression the applicant makes is also taken into consideration in the final selection. The number of new recipients also depends on the funds available and the number recipients that are further supported as well as the number of applicants in a given subject area. Unfortunately, we cannot specify a minimum grade required for the application.

What does the letter of motivation need to include and can a written version be submitted in addition to the online application form?
The letter of motivation in the online application needs to include the reasons for applying for the Germany Scholarship. The statement should describe why the current accomplishments substantiate a high degree of future success during the future university and professional career in light of the personal background. The statement may not exceed 2,500 characters (including blank spaces). Any written statement submitted additionally will not be included in the selection process.

Can recommendations be submitted?
Any letters of recommendation with regard to the Germany Scholarship are admissible and will be taken into account in the selection process.

What requirements must be met for the “voluntary engagement” criteria?
One selection criteria for the Germany Scholarship is the applicant’s voluntary engagement. If the activity was pursued for a minimum of six months and if the activity ended no earlier than one year prior to the application time period, the engagement can be considered in the application. A differentiation is made between daily, weekly and monthly commitments. To recognise voluntary engagement, verification must be submitted in the form of a copy that indicates the type of activity and time period dedicated to that engagement. Please note that you have to complete all appropriate fields of the online application form concerning your voluntary engagement.

What requirements must be met for the “awards/prizes” selection criteria?
The selection process takes prizes and awards into account that were received within the last three years prior to the application period. National, state and international prizes and awards are considered. Regional prizes such as scholarships or prizes and awards that are awarded by a school or university are not taken into account. Please note that you have to complete all appropriate fields of the online application form concerning your award/prize.

What requirements must be met for the “internships and professional training” criteria?
Internships of at least four weeks duration and not mandatory for study and examination regulations, for instance, are taken into consideration, if they ended no earlier than three years prior to the application time period.
Professional training must have been at least two years in duration.
Please note that you have to complete all appropriate fields of the online application form concerning your internship or professional training.

How do I verify my non-academic history?
You can provide a written statement signed by both parents indicating your occupation(s) and the highest level of education. If there is no contact with one parent, this must be confirmed or proven by the other.

How do I furnish proof of migration background?
Submit a copy of a birth certificate or identification that documents that either you or at least one parent is a foreign national. If a candidate has experienced flight, they can submit documents that prove the status of a recognized refugee.

Can missing documents be submitted at a later time?
If the enrolment or study certificate, notification of admission, first university diploma, certificate “Zeugnis über den Ersten Abschnitt der Ärztlichen Prüfung” (including notification of results), certificate “Zeugnis über die Naturwissenschaftliche Vorprüfung”, certificate “Zeugnis über die Zahnärztliche Vorprüfung”, certificate “Zeugnis über den Ersten Abschnitt der Zahnärztlichen Prüfung" (including notification of results), certificate “Zeugnis über den Zweiten Abschnitt der Zahnärztlichen Prüfung” (including notification of results) or performance records for “Kursus der Technischen Propädeutik” or “Phantomkurs I der Zahnersatzkunde” are not available by the end of the application period, copies must be submitted until the respective deadline.
If there is evidence of other achievements from the summer semester that can be considered in accordance with § 6 (1) No. 3 of the bylaws but is not available until the end of the application period, these achievements can also be submitted until the respective deadline. The rest of the documents must be received in writing by Heidelberg University | University Administration | Department 8 | Division 8.2 | Seminarstr. 2 | 69117 Heidelberg by the end of the application period. All other written documents must have been received by Heidelberg University Administration | Division 8 | Department 8.2 | Seminarstr. 2 | 69117 Heidelberg by the end of the application period.

Although records from the summer semester as well as from your pending degree can be submitted later, applicants must still specify their current average grade in the section performance /previous university degree on the application and submit a copy of the current performance record by the end of the application period.

When submitting the missing documents, please make sure that the specific documents are bearing the indication “Submission for application for a Germany Scholarship” as well as your name and your personal reference number.

I am completing my bachelor’s degree in Heidelberg or at another university. Can I still apply for the Germany Scholarship through Heidelberg University?
You can apply for a Germany Scholarship if you are planning to attend Heidelberg University during the forthcoming winter semester. If you do not have your bachelor’s diploma or enrolment certificate when you apply for the scholarship, you can submit them until the respective deadline. Until the end of the application period, please attach a copy of a temporary certificate with your final grade to the application. However, you still have to enter an interim grade in the section “Previous completed studies” and certify it.

I am in my first or second semester of my degree programme in the upcoming winter semester and do not  have any or only some course or examination certificates yet. What do I enter under performance record regarding my studies?
Please leave the field blank. For students in the first and second semester, performance is based on the grade specified in the university entrance qualification. For students who have already completed a course of study, the final grade is used. If you have several degrees, please state the degree that is relevant to the subject for which you have applied for a Germany Scholarship.

Next semester I will be on leave/studying abroad/doing an internship. Can I still apply?
You can apply for a Germany Scholarship. If you are on leave from Heidelberg University during that time, the scholarship will resume once you return and the period of the award will be adjusted. If your time abroad is related to your field of study, you can continue to receive the scholarship while you are gone.

I am enrolled in two degree programmes. Under which programme should I apply?
Germany Scholarship applications apply to your major field of study. You can choose whichever one you prefer. However, please apply only for one programme.

What is the application deadline?
Applications for Germany Scholarship are possible during the period indicated on our website which, according to the bylaws is from July 15 to August 31. The application period can be postponed for important reasons, especially if there are no or insufficient scholarship funds available or if the organized study operations are delayed. Please fill out the online application during the application period and make sure to send it until the application deadline.

The signed print-out of the online application (only available in German) and the required documentation and certificates must reach our post office no later than the application deadline (the receipt stamp date applies). The postmark date does not count.
Applications received by our post office after that deadline will not be considered.  For information about the end of the application period as well as the deadline for submitting missing documents, please go to our website.
