Training stays Staff mobility
The ERASMUS+ programme of the European Union enables further education and training measures for university staff in programme countries to expand internationalization. With the ERASMUS+ Staff Mobility for Training (STT), stays abroad of two days or more can be funded. The funding includes country-specific daily rates, a lump sum for travel costs and, if applicable, special grants.
Who is supported?
ERASMUS+ staff training courses can be applied for by academic and non-academic university employees who have an employment relationship with Heidelberg University. Funding for people with special support needs (traveling with a child / traveling with physical disabilities) is possible with additional grants.
Due to limited ERASMUS+ funds and in accordance with the DAAD award guidelines, preference should be given to employees who have not yet completed an ERASMUS+ staff training course. If sufficient funds are available, repeated applications for funding can also be considered.
What is supported?
Funding is available for vocational training and further education measures offered by ERASMUS+ partner universities or foreign institutions / companies. The funding period generally covers a period of 2 to 5 working days. Longer funding periods are only possible in exceptional cases by prior arrangement and with sufficient ERASMUS+ funds.
Many universities offer so-called Staff Weeks, which last around five working days and include university-related workshops or language courses. Further information can be found in the database opposite or on the iMotion website.
The following activities can be funded:
- Work shadowing with foreign colleagues in a similar field of work
- Involvement in curriculum development (only for lecturers)
- Participation in workshops and seminars
- Participation in language courses
Funding for research projects, research conferences and any course or participation fees cannot be covered or subsidized by ERASMUS+ funds.
The applicant is responsible for contacting the host institution and for planning and organizing the stay. Further education and training requires the approval of the responsible personnel officer by approving the business trip. The International Relations Department will be happy to advise you.
How can I apply for ERASMUS+ funding?
Applications for ERASMUS+ staff mobility funding should be submitted in writing to the International Relations Office at least 4 weeks before the start of the mobility and should include the following information:
- Name of the applicant(s) and place of employment at the Heidelberg University
- Name of the host institution and location
- Planned period/duration of the stay
- Brief description of the project (letter of invitation, program, if applicable)
Upon receipt of the informal application, further information and a training agreement will be sent to you. This ERASMUS+ mobility agreement (training agreement) must be agreed between the employee, the host university and the home university before the start of the trip and submitted with the business trip application. The grant agreement between the traveler and Heidelberg University, represented by the International Relations Office, is concluded on the basis of these documents.
Early application is recommended, as funding for ERASMUS+ staff mobility can only be granted if sufficient ERASMUS+ funds are available. The International Relations Office will be happy to answer any further questions you may have.
How much funding is available?
ERASMUS+ funding is available for stays in all countries participating in the ERASMUS+ program. It is calculated on the basis of a country-specific daily allowance and a travel allowance, which is allocated according to the distance between the home university and the host institution using the EU distance calculator. An increased travel allowance (Green Travel) can be paid for travel by low-emission means of transport such as bus, train or carpooling. The exact flat rates are listed in the table below.
Due to limited ERASMUS+ funds, only a maximum period of 5 days can usually be subsidized, even if the mobility is to take place over a longer period.

Travel expenses
Travel costs are reimbursed depending on the actual distances between the place of departure and destination of the mobility. These are calculated uniformly throughout Europe using a calculation tool (see "Distance calculator").
